Lesson 1: What is a Memo?
A **Memorandum** ("memo") is a brief, official document used to communicate important information **within** an organization. It serves as a formal, permanent record.
Memo vs. Email
Use a Memo for:
- Official announcements.
- Creating a permanent record.
- When formality is required.
Use an Email for:
- Quick, informal questions.
- Casual conversation.
- Daily back-and-forth.
Lesson 2: The Memo Heading
The standard heading has four essential parts, always in this order:
- TO: Recipients
- FROM: Writer
- DATE: Full Date
- SUBJECT: Must be specific!
Lesson 3: Opening & Context
Get straight to the point! The **very first sentence** must be a direct statement of the memo's purpose.
The next paragraph provides the **Context** (the "Why" and "How"). Keep it concise; use lists.
Opening:
Effective Sept. 30, we are implementing a new dress code.
Lesson 4: Closing & Call to Action
The closing must tell the reader **what to do next**. This is the **Call to Action**.
- State a deadline, if applicable.
- Always provide a **Point of Contact** for questions.
- Memos do not need a signature or "Sincerely."
Lesson 5: Best Practices
- Be Direct: Avoid filler words.
- Professional Tone: Be objective and respectful.
- One Topic Rule: Cover only one main subject.
- Proofread: Always check for errors!
